The Best Approach to Event Planning

January 23, 2012

When planning any event, no matter how large or small, there are certain measures you must take to ensure you stay organized and that your event is carried out without a hitch. As any amateur or professional event planner knows, there are many complications that can arise when planning an event no matter if its a wedding or a simple meeting. One of the most common tips from the pros is to stay organized and know your budget! One of the biggest mistakes people making when planning an event is getting off track, and choosing services and products that are inappropriate for the type and purpose of the event they’re throwing.

To avoid this you should follow a simple WWWWWH approach. Simply put, this means first knowing who your guests are. Before you do anything you should make a guest list. This will help you decide both the size of the venue and it’s location. It can also help you make decision like how much, and what quality of food to order.

The next question you should ask is what kind of event you are hosting. What is its purpose? Is it in recognition of a team winning a tournament? Is it a family reunion? Or is it a husband and wife renewing their wedding vows? The answer to this question should guide everything you do during the wedding planning process. Don’t order or buy anything unless it makes sense for the type of event you are hosting.

After you determine what type of event you are hosting, you should figure out where to have it. There are many types of venues that range in their prices and the purposes that they serve. When searching for venues keep in mind how much you are able to spend and what services you may need help with. Many venues can connect you with the most reliable vendors, or even help you decorate the space you’ll be using.

When will you have the event? This question is important to answer before you even start looking at venues. If you have a specific date you have to stick with and a venue is booked that day, there’s really no point in even checking it out.
